New updates and improvements to Minikai.

Better document reading, usage forecasts & asking Minis by label

We've started rolling out a new way of reading your documents, so Minis can read handwriting, tablet-signed forms and harder PDFs once it's on in your workspace. The Budget page now shows which job categories are using your credits and forecasts where the billing period will end up. Insights has been split into Overview, Users, Minis and Records tabs, and the Workspace agent can ask every Mini under a label in a single request. Plus fixes across chat, records, search and imports.

What's New

A new way of reading your documents, rolling out now: we've rebuilt how Minikai reads the files attached to records, so handwriting, tablet-signed forms and harder PDFs can be read and searched, and a Mini can work through a long document from start to finish when a question needs all of it. When a Mini cites a file, you can open the text it read beside the original to check the details, and a document that couldn't be read is clearly marked. We're turning this on for workspaces over the coming weeks.
Understand and plan your usage: the Budget page breaks this period's credits down by job category, and each category opens to the job titles in it. The chart projects usage to the end of the billing period at the last 30 days' rate. You can page back through previous periods, or step forward to a forecast and change the number of users and credits per user in each category to see the effect.
Insights, reorganised: Insights now has Overview, Users, Minis and Records tabs, with the period and label filters behind one button. Records gets its own section showing record activity for the period, and one workbook export covers every section.
Ask every Mini under a label: in a Workspace agent chat, ask about a whole site or team by its label without listing each Mini. Before you confirm, the plan shows every Mini it will ask, limited to the Minis you can access. A single request can now cover up to 100 Minis, up from 50.
Default labels for document imports: choose labels to apply to every file in a document import. AI-suggested labels are added alongside them instead of replacing them.
Clear label filters in one tap: label filters applied in the Mini list now appear as pills under the search bar. Each pill has its own remove button, and Clear all appears when two or more are applied.
Submissions on the activity timeline: submitting a draft, archiving a record or restoring one now shows on the record's activity timeline with who did it and when.
IT contacts for your workspace: admins can add IT contacts on the Security page in Settings. Those contacts are emailed when sign-in setup needs attention, such as an SSO certificate about to expire.

Improvements

A faster Workspace agent: confirming a plan starts asking the Minis immediately. Minis are now asked in a continuous queue rather than fixed batches, and the agent reads more of each Mini's answer before replying.
Stop takes effect straight away: stopping an answer now also ends any Minis it was asking, searches still running and memory saves in progress.
Find a Mini by surname: Mini search now matches the start of any word in a name, not only the first.
Notifications only to people who can open the record: the people-to-notify picker lists only people who can view the record, so no one is emailed a link they can't open.
Full-height tables: tables in a Mini's answer or an open document show every row instead of scrolling inside a small box.
No unrequested email drafts: a Mini no longer opens a blank email draft at the end of a long answer.
Clearer connection errors: when a chat's connection drops, for example when a phone locks, the chat now says it had trouble connecting and offers Retry. We've also fixed a fault that said your message might not have sent when it had saved correctly.
Skipped questions read as skipped: a question from a Mini that you scrolled past now shows as unanswered instead of as an error.

Bug Fixes

Date-only fields, such as the date on a bowel chart entry, now save as a date, so changing the date no longer stops a record submitting. A rejected submit now names the fields to fix.
A search containing a standalone hyphen, such as "Care Plan - Pain", now returns results.
Spreadsheet imports keep every column when a header name is repeated.
Downloading a generated document as Word no longer fails on certain tables.
People whose access comes from labels can now edit their own unlabelled records and drafts.
A record linked to a record you can't edit can now be saved.
One record without a title no longer stops a Mini retrieving the rest.

Skills, inline citations & safer label management

Skills are rolling out across workspaces. Every team has its own way of writing a shift handover or a progress note, and a skill holds those steps in the workspace so the Mini can follow them against that person's records. Anyone can run one without composing a long request. Also in this release: citations name the record they came from, renaming or deleting a label no longer takes anyone's access away by surprise, and Settings has been rebuilt.

What's New

Skills: pick a skill from the lightning-bolt menu in the message area and the Mini follows the steps your team set out, working from that person's records. Whoever is on shift, the handover comes out the way your team writes it. It arrives as a draft, so you still read it before it goes anywhere.
You don't have to open the menu: describe the task in the chat box, or dictate it between visits, and the Mini picks up the matching skill on its own. It shows you which one it used as it works, so you can see the procedure was applied.
Built with your team, from what you already use: the prompt suggestions your workspace has relied on have been rebuilt as skills, worked through with your team so each one reflects how you actually write. They appear in the Skills menu where they apply, inside a person's Mini or in the workspace agent. If you do not see the Skills button yet, your workspace is still being set up and you will see prompt suggestions in the meantime.
See what a skill worked from: open the instructions and any attached file behind a run, straight from the chat, so a draft can always be traced back to the procedure that produced it. Admins can review a skill in Settings, and talk to us about changing one or adding another.
Inline citations: a citation in an answer now shows the record it came from, not a footnote number, and hovering or focusing it previews the record's content, labels, and author. Where one sentence rests on several records, you can page through them from the citation itself.
Minis can revise a draft: a Mini can now edit a draft record it created rather than creating a second one, and an edit built on content that has since changed is refused rather than silently applied. Every draft edit is recorded in history with its author and time.
Set your dictation language: a new Profile page in Settings sets the language used for dictation and recorded sessions, so anyone not speaking Australian English is transcribed accurately.
Email files in chat: .eml email files can be uploaded straight into a conversation, so a Mini can read a thread without anyone exporting it to PDF first.
A clearer view of what a Mini is doing: the progress rail now says what the turn actually did rather than 'Working on it', and a drafted record or email appears as a step in it.
Press F1 for help: the help and support chat opens from anywhere in the app with the F1 key.
Settings, rebuilt: Workspace Admin is now Settings, with one layout and one search and filter pattern across Users, Minis, and Labels. Bulk label selection in the permissions dialog makes granting access across many labels a single action.
Manage your labels safely: editing and deleting labels is now on for every workspace. Renaming a label moves every record and Mini onto the new name, and deleting one that is still in use is refused with a count of what it is on, so access is never quietly destroyed.
See what a label reaches: the labels table in Settings now shows what each label is used on and who can reach it, with a read-only list of everyone holding access.
Export records across many Minis: workspace admins can select Minis in the admin table and export their records into one CSV, with a Mini Name column on every row. Record relations now appear in exports too.
Sent and received messages in Insights: the dashboard now separates messages people sent from messages Minis received through delegation, with a per-Mini table behind it, so a Mini doing work in the background no longer reads as unused.

Improvements

A tidier composer: every control in the message area shares one size, and on a phone the toolbar folds into a single row.
Records that read properly: single line breaks in synced records now render as written, url fields are clickable links, and the empty Description field no longer sits above the real fields on typed records.
Copy that pastes cleanly: copying a note gives plain text with list markers intact instead of raw markdown, and a passage a Mini offers for copying now renders as prose with its own copy button rather than as code.
Better on mobile: timeline row actions are available on a phone, and tapping a citation no longer throws away your place in the answer.
Timeline starts where you are: the records timeline now ends at today by default, with a toggle to show upcoming records where any exist.
Accessibility: images on the Insights pages are described properly to screen readers, and validation errors in rich text fields are now visible.
Extra usage without a cap: where a workspace has no usage limit, the Budget page now leads with the extra usage accrued so far and how far past the included allowance it has gone.
UK documentation: docs.minikai.com now documents both the Australian and UK regions, so an integration points at the right one.

Bug Fixes

A chat turn that stalls now ends with a retry instead of appearing to run indefinitely.
Long conversations render faster and no longer crash on slower machines.
Password-protected PDFs are rejected at upload.
A Mini you cannot access now shows an access message rather than an error.
Fixed deleting a label group immediately after its last label returning an error.
A user with no workspace membership now gets a proper screen, and directory-managed members can no longer be removed in a way that locks them out.

A smoother workspace, connected records & clearer insights

Minikai is easier to navigate, records can be linked as you create or edit them, and insights gives admins a clearer view of engagement. Plus clearer billing and fixes across search, exports, and permissions.

What's New

A smoother workspace: a refreshed welcome page, sidebar, timeline, and record view make it easier to get around and decide what to do next.
Connect related records: link incidents and other related records so people can see the connection and Minis can use it too.
Filter insights by label: admins can focus charts, user activity, and CSV exports on a site, team, or support type.
See age at a glance: a Mini's age now appears beside their date of birth.

"Storage" is now called "Memory" on your Budget page

The usage meter for records and attachments loaded into your workspace is now labelled Memory instead of Storage, to better reflect what it covers. How it is metered and billed hasn't changed.

A model upgrade for more precise, better-grounded answers

We have upgraded the AI model behind Minis. In our own evaluations, both precision (how often a response is rated ideal) and groundedness (how closely a response sticks to your records) have improved, and both hold steady even as a Mini draws on more information to answer. In practice that means reliable answers on complex questions that pull together many records at once.

Improvements

More precise answers: across our residential aged care evaluations, the share of responses rated ideal rose from 70% to 86%, a 16-point increase. The model is now more likely to clearly show exactly what it can support from your records.
Grounded, however much information it draws on: groundedness measures how closely a reply sticks to your records. After the upgrade, groundedness stays high even as a Mini uses more information to answer, so a response to a complex, multi-record question is just as trustworthy as a simple one.

Stronger on complex, multi-step work: the upgraded model searches more thoroughly and follows longer chains of reasoning, so detailed reports and questions that cross-reference several records hold together better.

Search across your workspace, richer Mini profiles & CSV export

Find any record or person in seconds with new search across the timeline and your Minis, including search by NDIS or Medicare number. Minis now carry date of birth and key identifiers, you can export records and insights to CSV, and link straight to a specific record. Plus accessibility improvements across the app and a long list of chat reliability fixes.

What's New

Search the knowledge timeline: find records by title, description, and content, with the most relevant results ranked first. Your existing timeline filters stay applied.
Search your Minis, including by identifier: the Minis list now has fast, server-side search across name, description, and profile details. Find a Mini by NDIS number, Medicare or My Aged Care number, or date of birth, and small spelling mistakes are handled gracefully. A Mini's date of birth and primary identifier now appear under its name and can be edited directly for non-integrated Minis.
Export records to CSV: export the timeline from the records view, including record content columns, with your active filters and date range reflected in the file.
Export Insights to CSV: workspace admins can download the user activity leaderboard from the Insights dashboard as a CSV for their own reporting.
Record deep links: open or share a direct link to a specific record, so you can point a colleague straight to the right entry.
Draft emails from the workspace agent: email drafting is now available from the workspace agent, not just individual Minis.

Improvements

Accessibility improvements across the app: clearer labelling, roles, focus order, and live announcements for screen reader users. The layout now holds together at 400% browser zoom, and the app honours your operating system's increased-contrast setting.
Better on mobile: the timeline filters collapse into a tidy drawer, the Minis sidebar is easier to read, and the timeline is much more usable on a phone.
Insights dashboard additions: new Minis activated and last active columns, plus a per-user Minis activated metric, give admins a fuller picture of engagement.
Smarter workspace agent: participant questions are routed to the right participant Mini, the agent can fill structured fields when creating a record, and multi-step plans now render as cleanly formatted text.
Claude Sonnet 4.6 added to the platform for improved response quality.
Clearer Budget page: extra AI usage is now shown in US dollars on the Budget page, matching how it is billed, while storage stays in your local currency.
Clearer document actions: a more prominent Open button on generated documents, and download actions are hidden on mobile where they don't apply.

Add files to chat, Budget & Insights dashboards

Drop files straight into chat for the Mini to read inline, get visibility on your workspace usage with new Budget and Insights dashboards, and self-serve billing through the Stripe portal. Plus fine-grained authorisation is generally available, and Claude Opus 4.6 is supported.

What's New

Add files to chat — attach files directly to a conversation via the paperclip button or drag-and-drop. The Mini reads the content inline across the whole conversation.
Wide file format support — works with PDF, DOCX, XLSX, CSV, Markdown, text, and images.
Floating Context card — a card in the top-right shows what is currently attached so you always know what the Mini can see.
Budget dashboard — a new Budget page under Workspace admin shows usage and storage against your included allowance for the current billing period. Workspace admins can set a per-meter dollar cap so AI chat is throttled the moment a cap is hit, instead of unbounded overage.
Insights dashboard — a new Insights page shows your org-level chat activity: weekly user messages over time and an all-time count per user, so admins can see who is getting value from Minikai and how engagement is trending.

Fine-grained authorisation & custom user management

A complete authorisation overhaul — Minikai now supports label-based, per-user access control for both Records and Minis. Plus a fully custom user management experience, chat message feedback, and interactive document generation.

What's New

Fine-grained authorisation (FGA) — admins can grant users view, edit, or delete permissions on specific labels (e.g. "Medical", "Incident Reports"), controlling exactly which records and Minis each team member can see and modify.
Labels admin UI — a new workspace admin page for managing labels and label groups, separated by resource type (Record/Mini) with inline create, edit, and delete.
User permission management — the users table now includes per-user FGA assignment editing, so admins can view and modify label-scoped permissions directly.
Custom user management — a fully custom users table with name, email, job title, server-side pagination, search, and role/job title filtering.
Chat message feedback — rate assistant responses with thumbs up/down and optional text feedback, providing a direct signal on AI response quality.
Document generation widget — Minis now detect when content needs to be exported (e.g. driving assessments, progress notes) and generate it in a side panel where you can copy, print, save as PDF, or download as a Word document. You can also ask a Mini to generate styled reports and documents as HTML — including logos and images — then view in your browser, print, or download.

Template consent form for care providers — a template consent form is now available via a public link, so care recipients and their authorised representatives can view it directly without a Minikai account. Care providers should adapt the template to their needs and have it signed by the individual or their authorised representative. The form is not submitted to Minikai.

Fixed 409 Conflict errors when editing records after they transition from processing to active — the edit panel now stays in sync with the latest record state.
Fixed a false error toast that appeared when saving a draft record with an attachment, even though the file uploaded correctly.

Records now support rich text formatting with headings, bold, italic, and lists, and new prompt recommendations across Support at Home and NDIS workspaces make it easier to get useful answers from the workspace agent.
